Overhead is the recurring operating cost of running an organization that is not tied to producing or selling any single product. It covers the standing expenses a business pays month after month to keep the lights on, and it tends to drift upward when no one reviews it.

The effective rate is the true, all-in rate an organization actually pays for a recurring cost once every surcharge, fee, and add-on is included. It is almost always higher than the headline rate quoted on the contract, and it is the only number worth comparing.

Benchmarking is the practice of comparing what an organization pays for a recurring cost against what comparable organizations pay for the same thing. The gap between the two is the overspend, and it is where the savings live.

Vendor-neutral describes an advisor who has no product, carrier, or service to sell and takes no referral fees from the providers being reviewed. With nothing to push, the advisor has incentives aligned with the client rather than with any vendor.

An auto-renewal clause is a contract term that renews an agreement automatically for another term unless the customer cancels within a defined notice window. Miss the window and the contract locks in again, often at terms no one has revisited in years.

Rate creep is the slow, compounding increase in a recurring cost over time through small annual escalators, surcharges, and quiet adjustments. No single change is large enough to prompt a review, so the cost climbs unnoticed year after year.

A performance-based fee is a fee paid only out of the savings actually found, with no upfront cost and no retainer. If a review finds nothing, the client owes nothing, so the advisor is paid for the result rather than for the engagement itself.

Cost avoidance is preventing a future cost increase before it takes effect, such as heading off a scheduled rate rise or a renewal at higher terms. It differs from cost reduction, which lowers a cost an organization is already paying.
